Booking | Update and manage Bookings' statuses

The below guide will show you steps to update and manage bookings' statuses.

Notes: Only accounts having the "Booking List" role in the Booking section can update and manage bookings' statuses.

Open "Booking" menu and Select "Booking List".

Step 1: Manage Bookings

The Booking List page will display all bookings. All bookings are arranged in tab and highlighted by color tags according to each booking status.

  • There are 5 available statuses for bookings:

    • New booking (grey): new bookings are waiting for the confirmation. You can cancel bookings with this status.
    • Confirm booking (yellow): bookings are confirmed. You can cancel bookings with this status.
    • Check-in booking (green): you cannot cancel bookings with this status.
    • Check-out booking (blue): you cannot cancel bookings with this status.
    • Cancel booking (red).
  • There are 7 tabs to arrange bookings:

    • Calendar tab: display the booking calendar by date by room in the current 10 days.

      • Click on (a)/(b) to view the booking calendar in the previous 10 days/next 10 days.
      • Click on (c) and input the booking room you want to display the booking calendar.

    • Activity tab: display all booking activities by date, booking #, activity types, and account. There are 9 available activity types highlighted by color tag according to each activity type:

      • (1): create new bookings.
      • (2): confirm bookings from new booking tab
      • (3): check in.
      • (4): cancel new bookings/confirmed bookings or delete check-in/check-out bookings.
      • (5): add comments in bookings.
      • (6): record service bills in the restaurant|bar|store with the amount (6a) and detailed bill information (6b).
      • (7): record booking payments with the amount (7a) and payment method (7b).
      • (8): delete service bills in the restaurant|bar|store which was recorded in (6) or booking payment which was recorded in (7).
      • (9): check out.

    • New Booking: display all new bookings which are not yet confirmed.

    • Check-in Today: display all confirmed bookings which will check in on the current day.

    • Check-out Today: display all checked in bookings which will check out on the current day.

    • Stay Today: display all check-in bookings/confirmed bookings which stay on the current day.

    • All: display all bookings.

Step 2: Update Bookings' statuses

1. Update booking information:

Search and select the booking by Id, Ref Id, Name, or Phone you want to update in the corresponding tab with the booking status:

  • Click on (a) to change the booking room price.
  • Click on (b) to delete the booking room.
  • Click on (c) to search the available booking to add to this booking.

  • Click on "Activities" to view all activities of this booking:

    • To add comments for this booking: click on "Comment", input comments in the pop-up window then click on "Add".
    • To add the payment for this booking: click on "Payment", input the amount and remark, select the payment method then click on "Add".

2. Confirm or cancel new bookings:

Search and select the booking by Id, Ref Id, Name, or Phone you want to confirm or cancel in New Booking tab:

  • You can update information for the booking as in 1. before confirming or canceling.
  • To confirm the booking: select "Confirm". Once you've clicked on Confirm, the booking status will be updated to "Confirm" status.
  • To cancel the booking: select "Cancel". Once you've clicked on Confirm, the booking status will be updated to "Cancel" status.

3. Check in or cancel confirmed bookings:

Search and select the booking by Id, Ref Id, Name, or Phone you want to confirm or process the check-in in Check-in Today tab:

  • You can update information for the booking as in 1. before processing the check-in or canceling.

  • To check-in:

    • Select "Print bill" to print the booking bill for the customer. Notes: you should process the printing, highlight the booking Id on the top-left of the printed bill and recommend the customer to keep the bill for tracking during their activities at your accommodation.
    • Select "Check in". Once you've clicked on Check in, the booking status will be updated to "Check-in" status.
  • To cancel the booking: select "Cancel". Once you've clicked on Confirm, the booking status will be updated to "Cancel" status.

4. Check and delete service bills in restaurant|bar|store or booking payments:

Search and select the booking by Id, Ref Id, Name, or Phone you want to check or delete service bills or booking payments in Stay Today tab:

  • The service bill in restaurant|bar|store or booking payments will be displayed:

    • (a): bill or booking payment amount.
    • (b): bill id or booking payment method.
    • (c): click on this to delete service bills or booking payments.
    • (d): deleted service bills or booking payments.

5. Check out:

Search and select the booking by Id, Ref Id, Name, or Phone you want to process the check-out in Stay Today or Check-out Today tab:

  • You can also update information for the booking as in 1. if need.

  • Before processing the check-out, you need to process all the remaining payment for the booking.

  • To check-out:

    • Select "Print bill" to print the final booking bill for the customer including all service fees.
    • Select "Check out". Once you've clicked on Check out, the booking status will be updated to "Check-out" status.

6. Delete Bookings.

You can delete all booking in all statuses. This option is/is not visible based on selecting "Delete" role next to "Booking List" role when creating staff accounts. Search and select the booking by Id, Ref Id, Name, or Phone you want to delete in the corresponding tab with the booking status.

  • Click on "Delete" to delete the booking. Once you've clicked on Delete, the booking status will be updated to "Cancel" status.
