Inventory | Inventory report and statistics

POS Online provides reports relevant to the inventory operation. Each kind of report will have each meaningful insight for each operational plan of your store such as purchasing plan, or loss/waste minimization.

The below guide will show you how to use and apply these reports for your business.

Check Purchase statistics

  • Select Purchase Statistics.
  • Select timing you want to get the statistics: by Today|This week|This month or any custom time range (not greater than 100 days).
  • The purchase statistics of the selected time will be displayed by the table and visualize the value contribution of each item by the pie chart.
  • There are 2 kinds of purchase statistics report: by-products for purchase and by-categories of products for purchase.
  • This report will support you to monitor the purchasing operation of your store. To have the suitable purchase order, you should base on the export statistics of last 3 months or the same month of last year. So that if having any unusual differences in the purchase statistics in comparison with the export statistics data, you should review with your bar|kitchen staffs; especially when you leave the purchasing job for your staffs.

Check Ingredient and Export statistics

  • Select Ingredient Statistics or Export Statistics.

  • Select timing you want to get the statistics: by Today|This week|This month or any custom time range (not greater than 100 days).

  • The statistics of the selected time will be displayed by the table and visualize the value contribution of each item by the pie chart.

  • The ingredient statistics are generated from sales data based on the properties of products for sale:

    • With sale product is also purchase product (Coca-Cola can, Water bottle, etc.): quantity in the ingredient statistics = quantity in the sales statistics.
    • With processed products for sale: the quantity of the ingredient in the ingredient statistics calculated from the ingredient measure of sale products in the sales statistics.

  • The export statistics are generated from export orders created by the system based on the sales data or created manually, visit this article for more details: Create Export orders.

You can combine these statistics to:

1. Control inventory loss and review ingredient measure:

  • In case, you've enabled the "Export immediately from inventory when finishing a sales order" option in the inventory setting, export statistics = ingredient statistics + export statistics of manually export orders. If the export statistics > ingredient statistics: you should revisit the manually export orders to explore the behind reason:

    • The reason might come from the loss in the kitchen|bar operation, so you should deep dive in manually export orders to find out products having the most wasted quantity to adjust quantity in next purchase orders or discuss with your staffs to have the solution.
    • The reason might come from the ingredient measure which is under-measured versus practical usage, so you should re-visit the ingredient measure in the products for sale page to adjust or discuss with your staffs to have the solution.
  • In case, you've not enabled the "Export immediately from inventory when finishing a sales order" option in the inventory setting. The export statistics is totally generated from manually export orders. There are 2 situations:

    • If the export statistics > ingredient statistics, with this situation, you can explore the behind reason as the 1st case.
    • If the export statistics < ingredient statistics, the reason might come from the ingredient measure which is over-measured versus practical usage, so you should re-visit the ingredient measure in the products for sale page to adjust or discuss with your staffs to have the solution.

2. Place purchase orders:

  • To have the suitable quantity for the purchase orders and prevent the loss, you should use the running rate export statistics of recent last 3 months or the export statistics of the same month in last year.
